Wedding Planning Timeline: Your Month-by-Month Guide

Planning a wedding is one of the biggest projects you will ever undertake, but with a clear timeline and the right guidance, it becomes an enjoyable journey rather than a stressful one. As a wedding DJ who has been part of over 1000 weddings across Staffordshire and Cheshire, I have seen what works and what causes unnecessary stress. This month-by-month timeline will help you stay organised and ensure nothing is missed.
18–24 Months Before: The Foundations
This is where it all begins. The decisions you make now set the direction for everything that follows.
- Set your budget: Be honest about what you can afford and allocate rough percentages to each category — venue, catering, photography, entertainment, attire, flowers, transport.
- Choose your date: Consider the season, day of the week, and any significant dates for family and friends. Summer Saturdays are the most popular and book up fastest.
- Start venue research: Visit multiple venues. In Staffordshire and Cheshire, popular venues like Keele Hall, Crewe Hall and Trentham Estate book 12–18 months in advance for summer Saturdays.
- Book your venue: Once you have found the right venue, secure it with a deposit. Your venue date confirms everything else.
- Begin your guest list: A rough guest list helps you choose the right venue size and estimate catering costs.
12–18 Months Before: The Key Suppliers
With the venue secured, the next priority is booking your key suppliers. The best suppliers book up quickly, especially for summer weddings.

- Book your photographer: Photographers book even further ahead than DJs. Research styles, view full wedding galleries (not just highlights), and meet in person if possible.
- Choose your caterer: If your venue does not provide in-house catering, research and book a caterer. Tasting sessions are essential.
- Book your wedding transport: Whether it is a classic car, a vintage bus or something more unusual, book early.
- Start dress shopping: Wedding dresses can take 6–9 months to order and alter. Begin browsing and booking appointments.
9–12 Months Before: The Details Take Shape
- Book remaining suppliers: Florist, videographer, cake maker, stationery designer, and any entertainment add-ons like a Magic Mirror photo booth.
- Send save-the-dates: Give guests plenty of notice, especially those travelling from afar.
- Choose your wedding party: Confirm bridesmaids, groomsmen, ushers and other key roles.
- Finalise your guest list: This determines your catering numbers and seating plan.
- Begin music planning: Start thinking about your first dance, ceremony music, and must-play songs. I provide an online planning portal for all my couples.
6–9 Months Before: Personalisation
- Order your wedding rings: Leave time for sizing and any custom design.
- Choose bridesmaid dresses and groomsmen attire: Coordinate colours and styles.
- Plan your ceremony: Meet with your officiant to discuss readings, music and the order of service.
- Choose your menu: Finalise food choices with your caterer or venue.
- Plan your honeymoon: Book flights, accommodation and transfers.
- Start beauty and fitness routines: If you plan to change your hairstyle, colour or skincare, start now to allow time to settle.
3–6 Months Before: Finalising Details
- Send invitations: Aim to send invitations 8–12 weeks before the wedding.
- Finalise your music plan: Complete your online playlist, first dance song, and do-not-play list. If you are my client, this is done through the planning portal.
- Choose readings and ceremony participants: Confirm who is doing readings and what they are reading.
- Order favours and decorations: Table decorations, favours, guest book, and any other personal touches.
- Finalise attire: Final dress fittings, suit measurements, and accessories.
- Confirm all suppliers: Check in with every supplier to confirm timings, requirements and any outstanding details.
6–12 Weeks Before: The Final Countdown Begins
- Create a seating plan: This often takes longer than expected. Start early and be prepared to revise.
- Confirm final guest numbers: Provide final numbers to your caterer and venue.
- Finalise the running order: Confirm the timeline for the day — ceremony start, drinks reception, wedding breakfast, speeches, first dance, evening reception.
- Arrange a venue walkthrough: Visit the venue with your key suppliers to confirm setup locations, power points, and logistics.
- Final dress fitting: Your dress should be ready for collection 4–6 weeks before the wedding.
1–4 Weeks Before: Last Details
- Confirm everything: Contact every supplier to confirm arrival times, setup requirements and final details.
- Prepare your wedding day kit: Include emergency supplies — safety pins, plasters, painkillers, stain remover, phone charger.
- Finalise speeches: Write and practise your speeches. Keep them under 10 minutes each.
- Confirm the DJ timeline: I will be in touch to finalise the evening timeline, key moments and any last-minute music requests.
- Relax: In the final days, trust your planning and focus on enjoying the moment.
The Wedding Day
- Eat breakfast: You will need the energy.
- Stay hydrated: Drink water throughout the day.
- Delegate: Assign a trusted friend or family member to handle any issues so you do not have to.
- Enjoy it: The planning is done. Trust your suppliers and soak in every moment.
The Role of Your Wedding DJ in the Timeline

- 3–6 months before: You finalise your playlist, first dance and key songs in the portal.
